Position Description

The National Secretary is the Chief Administrative and Legal Officer of National, Company Secretary, and Secretary of the Board, NExec, and members’ meetings. An interest in ensuring a high standard of work at both a National Executive and Board level is therefore essential. The National Secretary is responsible for ensuring compliance with our internal and external legal obligations (Constitution, Bylaws, ACNC, ASIC), keeping members updated with the actions of the Board and the National Executive, and proposing reforms and improvements to our governance structure.

Responsibilities

  • Taking detailed minutes of weekly National Executive and monthly Board of Director meetings and distributing these to the broader organisational membership;
  • Coordinating budget and proposal submissions to the Board of Directors and various Board Committees in the two weeks leading up to each monthly Board meeting;
  • Circulating monthly agendas to the Board and weekly agendas to the National Executive for their meetings;
  • Responding to enquiries from external stakeholders, and directing them to relevant officers within the organisation;
  • Maintaining an up to date contact list of all Divisional and National officers in the organisation;
  • Maintaining up to date governance documents (such as Bylaws, Federal Welfare Policy) on intranet and internet sources;
  • Reporting to the ACNC and ensuring compliance with all relevant legal obligations;
  • Communication and providing support and training to Divisional Administrative Directors with regards to legal and administrative practices within UN Youth Australia in addition to the use of technological aids for admin purposes (including SalesForce and Wufoo); and
  • Managing UN Youth Australia’s Diversity and Access Program, which includes collating data relating to student participation in UN Youth Australia Divisional and National events, and coordinating the process of setting engagement targets by Divisions.
